Position Purpose

With guidance and direction from the Director of Communication Administration, the Assistant Director helps with projects for the Marketing & Engagement team. This position plays an important role assisting in day-to-day operations. Following strong project management principles and working with the Director, supports the project management process toward the goal of meeting key project milestones and deadlines.

Required Qualifications – Education and Yrs Exp
Bachelors or equivalent combination of education and experience

Required Qualifications – Skills, Knowledge and Abilities

  • Excellent project management skills; ability to manage multiple projects and deadlines.
  • Understanding of creative strategy, print and digital content development and channel delivery.
  • Able to communicate and work effectively with a diverse set of customers, clients, and colleagues.
  • Exceptional problem-solving, planning, and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Knowledge of project tracking systems.

Preferred Qualifications

  • Two years experience in an advertising, or creative agency.
  • Project management experience with multiple simultaneous projects, including printed and online media.
  • Experience working at a college, university, or similar institution.
  • Experience with Jira project management system.
  • Understanding of scrum principles and workflow.

Description

Project/Portfolio Management
Assists Director of Communication Administration, department directors, and client colleagues to help with project development, from concept to completion, including intake, work assignments (in partnership with directors), project management process, and vendor interaction. Organizes team meetings and helps keep a detailed “to do” list along with a project timeline. Monitors progress of all jobs and collaborates with Director of Communication Administration and directors to ensure that deadlines are met. Coordinates client-colleague meetings and establishes project check points with clients. Assists with day-to-day client interactions, striking a balance between customer orientation and expectation management. Adjusts style and processes to meet client needs. Performs administrative tasks as needed, such as scheduling meetings and taking notes.

Description

Performs the duties of scrum master for the M&E team, helping the team in scrum process. Is responsible for use and configuration of current project management tool (Jira). Recommends upgrades and adjustments to project management tools and process as needed.

Description

Assists the Director of Communication Administration with short- and long-term plans for the entire portfolio of communications projects. Communicates the status of projects to interested parties. Assists the Associate VP and Director of Communication Administration in developing and overseeing annual budget for M&E projects. Performs other duties as assigned.

Description

Negotiates with printing firms and other vendors; manages vendor relationships. Prepares specifications conforming to bid processes, obtains estimates, and assists in vendor selection for projects in various media.

Description

Assists with securing photographers and ensuring all assets are received and uploaded to asset management system. Partners with team directors to ensure that project documents and all media produced for clients are complete, current, and stored/archived
appropriately.
