About the Opportunity:
The Operations Assistant, Marketing is a member of the Graduate Recruitment and Admissions team and reports to the Associate Director of Recruitment and Admissions at the D’Amore-McKim School of Business (DMSB). The Operations Assistant is a key member of the Recruitment and Admissions team, managing and executing recruitment and yield events as well as assuming primary responsibility for all electronic communications to prospective and admitted students. This professional will serve as the liaison between the Admissions and Marketing teams in the D’Amore-McKim School of Business, working collaboratively across departments.
Minimum Qualifications:
A minimum of 2-3 years of relevant experience in an office setting preferred. Associates degree required; Bachelor’s degree preferred in marketing, communications, journalism, English, or related discipline required. Must have strong written and oral communication skills. Strong customer-service skills required. Must have strong interpersonal skills and be able to work well with the public and many constituencies: students, faculty, program managers, and administrators at all levels. Must be detail-oriented, professional, perform a variety of tasks in a busy environment, able to work with confidential information and prioritize tasks and demands. Must be a team player and have the flexibility to respond to meeting deadlines; good judgment and problem-solving skills; think and work independently; take proactive initiative and action. Must have demonstrated facility and/or willingness to learn marketing software programs, including e-mail campaign systems and web content management systems. Experience using Marketo, Slate, Calendly, WebEx or other online event software and familiarity with HTML are plusses. Must be proficient in Microsoft Office. Flexibility to work evenings and weekends as needed is required.
Key Responsibilities & Accountabilities:
Key job responsibilities includes managing the Admissions team event schedule, executing online events (such as webinars), sending e-mail campaigns, and executing logistics for on and off-campus recruiting events. The successful candidate will work with the Admissions and the Marketing teams to plan and execute an event schedule, including promotion, e-mail communications, and materials preparation, as well as occasionally participating in events. In this role, the Operations Assistant will serve as the liaison between the Admissions and Marketing teams. This professional will be responsible for creating, scheduling, updating deploying a wide range of email communications on behalf of the Admissions team, including admitted student communications, deadline reminders, and recruitment communications. This individual is responsible for extracting event registration and attendance lists and sharing with the team. This individual assists with recruiting and scheduling faculty/alumni/current students to participate in events. The Operations Assistant completes other projects as needed, including providing back-up to other members of the Admissions team. Occasional evening and weekend hours required as needed.
