Anticipated Hiring Range

$5,834.00 – $6,167.00 Per Month ($70,000.00 – $74,000.00 Annually)

Salary is commensurate with experience.

Position Summary

Reporting directly to the Chief of Staff, The Presidential Aide for Government and Community Relations provides strategic, logistical, legislative, program management support, and administrative support for the Office of Government & Community Relations (G&CR), SF State NAGPRA Program, & Office of the President. The incumbent reconciles invoices, credit card statements, and reimbursements, prepares requisitions for the Office of the President, and assists in managing Government and Community Relations & SF State NAGPRA Program projects. Additionally, this position plans and coordinates events, orders supplies, and schedules meetings with SF State staff, elected officials, Tribal Leaders, and community members. The Coordinator also plans and supports projects that assist government & community relations and the SF State NAGPRA Program. In addition, the incumbent acts as a backup liaison between the Chief of Staff and Tribal Government Liaison Lead. Finally, the incumbent must have working knowledge of the functions of the President’s office as related to the overall campus environment.

Position Information

Government and Community Relations & Tribal Relations Lead Support

Research and Strategy Support

  • Plan and drive repatriation efforts, leading and supporting Tribal & community engagement.
  • Regularly partner with key members (Political Leaders, Community, and Tribal Leaders) to analyze and report on G&CR and SF State NAGPRA Program initiatives.
  • Evaluate program performance, develop reporting to measure progress against goals, and share insightful results and recommendations for the Director.
  • Acts as the representative for the Office of Government and Community Relations and NAGPRA Program, Including answering correspondence, meeting with internal and external constituents, verbal communications with constituents, and liaising with the federal, district, Tribal, and local agencies.
  • Informs the Chief of Staff and Tribal Government Relations Lead of all happenings on the campus and the greater SF Bay Area community by interacting with constituents and screening calls.
  • Handles assignments sent by Legislative staff, CSU Chancellors office, and Tribal Leaders.
  • Assesses casework for problems requiring campus action and makes recommendations to the Chief of Staff and Tribal Government Relations Lead.
  • Monitors and assists in drafting documents for scheduled meetings for the Office of Government and Community Relations and SF State NAGPRA Program.

Admin Support

  • Manage and coordinate events and projects, including material preparation and distribution, planning & scheduling of events & meetings, and conference calls with SF State staff, elected officials, and Community members.
  • Managing correspondence with Tribal, government, and community agencies.
  • Maintaining and updating the Government and Community Relations binder & SF State NAGPRA Program databases.
  • Make travel arrangements, including flights, accommodations, ground transportation, and meeting schedules, and process reimbursements.
  • Update, manage, and create content for the SFSU G&CR website page
  • Assist in tracking legislation, budget, and political issues in the region.
  • Provide necessary materials and/or information for local and out-of-state meetings.
  • Screen and process incoming telephone calls, answer routine correspondence, edit documents, compile letters and reports, and create schedules.
  • Assess office supply needs, purchase supplies, and process other requests as needed.
  • Prepare and submit requisitions to create purchase orders for the office of the President.
  • Review vendor agreements and contracts for completion and accuracy.
  • Process, reconcile, and submit invoices for payments by deadlines for the office of the President.
  • Completes expense reports as needed for the Office of the President.

Minimum Qualifications

Knowledge and Abilities

  • Thorough knowledge of modern equipment, office practices and procedures, business arithmetic, grammar, spelling, and punctuation.
  • Thorough understanding of principles and techniques of organization, administration, and management as well as organizational structure, functions, and activities of higher education.
  • Must be fluent with Microsoft Office Suite and web editing software.
  • Ability to manage multiple assignments; prioritize and set deadlines, complete projects on schedule; identify appropriate applications of a wide variety of complex written policies and procedures; apply a high degree of judgment, discretion, and initiative in coordinating activities associated with the President’s office such as meetings, projects, executive personnel searches; reply to inquiries; gather information, conduct research, and prepare reports, letters, and policy statements; handle highly confidential and sensitive matters; communicate with the Presidential Chief of Staff and President appropriately; use tact and good judgment in responding to requests for information and/or interpretation of policies or procedures; establish and maintain effective working relationships with high ranking campus administrators, community leaders, and the public; manage the President’s appointment calendar; maintain the budget; coordinate and evaluate the work of clerical and/or secretarial personnel assigned to the President’s office, and read and write at a level appropriate to the position.

Education/Experience

  • Bachelor’s degree or professional training program specific to the position and directly related work experience, or a combination of education and experience, demonstrates that the applicant has acquired the knowledge and abilities listed above.

OR

  • Five years of progressively responsible work experience as a secretary, executive secretary, or staff assistant, which has demonstrated the knowledge and abilities listed above.

Preferred Qualifications

  • Experience working in a higher education environment and familiarity with University procurement procedures.
  • Working knowledge of operational and fiscal analysis and techniques.
  • Ability to take the initiative and independently plan, organize, coordinate, and perform work in various situations involving numerous and diverse demands.
  • Skill in developing, developing, and evaluating policies and programs, including expertise in collecting, evaluating, and interpreting data to develop sound conclusions and make appropriate recommendations.
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications.
  • Ability to anticipate problems and address them proactively.
  • Demonstrated ability to effectively interpret, organize, and present information and ideas in written or presentation form.
  • Ability to train others on new skills and procedures and provide lead work direction.

Environmental/Physical/Special

Incumbent may be required to work after-hours and on weekends as needed.
