Job Title: Executive Assistant
Type: Full-Time, Remote
Working Hours: Core availability for team collaboration and meetings between 9 AM- 5 PM EST
Compensation: $2,500 – 3,000 per month

Role Overview: We are seeking a highly skilled and detail-oriented Executive Assistant to support the CEO. In this role, you will manage the executive’s day-to-day tasks, assist in key business initiatives, and play a critical part in the company’s success by ensuring the smooth coordination of projects, communications, and operations. This is an exciting opportunity for an organized, A-player, detail-oriented individual with a passion for process improvement and a keen interest in leveraging technology to optimize business operations.

Key Responsibilities:

  • Executive & Administrative Support: Provide comprehensive administrative support to the Founder, including managing complex calendars, scheduling meetings, handling email correspondence, preparing reports, and managing confidential information.

  • Project Management (Primary Focus): Lead and manage various internal projects aimed at improving team efficiency and operational workflows. This includes defining project scope, creating timelines, assigning tasks, tracking progress, and ensuring timely completion.

  • Efficiency Implementation: Identify opportunities for process improvement within the management team’s workflow. Research, recommend, and implement new tools and technologies (e.g., Asana, Microsoft Teams) to streamline communication, task management, and project execution.

  • Follow-Up & Accountability: Proactively follow up on action items, deadlines, and project milestones with the management team to ensure accountability and progress.

  • Tools & Technology: Proficiently utilize the Microsoft Suite and  project management tools. Ability to quickly learn and adapt to new online training resources and platforms.

  • Self-Sufficiency: Take ownership of learning new processes and tools independently. Proactively seek information and resources to effectively onboard and become a self-sufficient contributor.

  • Adaptability & Problem-Solving: Demonstrate flexibility and strong problem-solving skills, remaining composed and effective when unexpected challenges arise.

  • Communication & Organization: Possess excellent written and verbal communication skills, coupled with exceptional organizational abilities to manage multiple priorities and deadlines effectively.

Key Qualifications:

  • Minimum 4 years of experience as an executive assistant or project manager in a fast paced startup environment.

  • English proficiency

  • Strong written and verbal communication skills, with excellent attention to detail.

  • Proficient in Microsoft Office Suite and project management tools.

  • Demonstrated ability to drive efficiency and implement new processes and technologies

  • Strong emotional intelligence and professionalism.

  • Comfortable taking initiative, pushing projects forward, and taking ownership of tasks.

  • Highly organized and detail-oriented with a strong ability to manage time effectively and meet deadlines

  • Ability to manage multiple priorities and stakeholders effectively.

  • Strong aptitude and experience in project management methodologies and tools.

  • Ability to maintain confidentiality and exercise sound judgment.
