Description
Reporting to the
Senior Associate Dean for Finance and Administration, the Senior Support Specialist performs a full range of secretarial duties at a senior
level for the Senior Associate Dean for Finance and Administration and the Administrative Assistant to the Senior Associate Dean. The Senior
Support Specialist will also assist law school non-JD graduate program administrative directors with clerical tasks, as assigned by the
Senior Associate Dean.
Responsibilities include, but are not limited to:
- Field phone calls, answers emails, and organizes and
orders office supplies. - Coordinate the creation of spreadsheets and databases for use in tracking all check requests, purchase
orders, contracts, and all other financial and budgetary paperwork. - Prepare administrative forms and general
correspondence. - Schedule meetings and coordinates travel and conference arrangements.
- Review and prepare check requisitions
for vendors, as well as purchase requisitions. - Liaison with accounts payable and researches payments in banner and vendor files when
questions arise. - Review and prepare purchase order reports for fiscal year-end.
- Prepare check deposit forms for the law
school and student journals. - Liaison with the Provost Office and Contract Administration regarding contract
submissions. - Draft guest speaker contracts and vendor contracts when assigned.
- Process hiring of student research and
teaching assistants and liaison with the Office of Student Employment when system issues arise that hold up the hiring
process. - Correct student timesheets in the University electronic time keeping system for approval and payroll
processing. - Coordinate set up of University electronic marketplace system for event registration and participant payments and
prepares related deposit paperwork. - Assist with updating alumni information in the University system and assist the Office of Career
Services (OCS) as assigned. - Perform other assigned duties not specifically identified above but which require the same degree of
skill, professionalism and attention to detail which are normally included within the above job description.
Hours: Monday through
Friday 9:00 am to 5:00 pm.

Qualifications
- Excellent interpersonal and
organizational skills, required. - Ability to exercise good judgement and discretion.
- Ability to work independently and
perform detailed work with high accuracy. - Proficient in Microsoft Office, Word and Excel.
- Willingness to learn Ellucian
Banner and other content management systems.
Preferred Qualifications
- Knowledge of Ellucian Banner,
Touchnet Marketplace, Chrome River, Symplicity, Blackbaud Raiser’s Edge NXT preferred.
