POSITION FUNCTION
Manage and coordinate the procurement, storage, and distribution of parts and materials for the fleet maintenance division. This role involves various responsibilities aimed at ensuring that the right parts are available when needed, and inventory is effectively managed.
 
KEY DUTIES

  • Parts Procurement:
    • Source and procure parts, materials, and equipment from suppliers, considering cost-effectiveness, quality, and timely delivery;
    • obtain purchase orders as required; sign and code invoices, credit notes and monthly reconciliation reports.
    • Pick up parts from local vendors or pick up/drop off vehicles.
  • Inventory Management:
    • Oversee the organization and maintenance of parts inventory, implementing effective control measures to minimize discrepancies and losses.
  • Order Fulfilment:
    • Process requests for parts from different departments or external customers, ensuring timely and accurate fulfilment;
    • Liaise with outside agencies such as auto suppliers, vehicle dealerships, insurance companies and repair facilities to obtain parts, pricing and availability, warranty repairs or rebates for body damage repairs;
  • Documentation and Record Keeping:
    • Keep accurate records of all parts transactions, including incoming and outgoing parts, and generate reports on inventory levels and usage.
  • Quality Control:
    • Inspect incoming parts to ensure they meet quality standards, addressing and resolving issues related to defective or substandard parts.
  • Customer Service:
    • Provide excellent customer service by assisting internal departments and external customers with their parts requirements, including identifying and sourcing hard-to-find or specialty parts.
  • Red Seal Expertise:
    • Apply specialized knowledge and skills acquired through Red Seal certification to enhance overall efficiency and effectiveness in parts management.
  • Safety Compliance:
    • Adhere to safety regulations and guidelines in all aspects of parts handling and storage to ensure a safe working environment.
  • Perform related duties where qualified.

INDEPENDENCE

  • Work is assigned by supervisor and reviewed while in progress.
  • Problems such as unavailable parts and major expenditures are referred to supervisor.

KEY SKILLS AND ABILITIES

  • Organize and prioritize work.
  • Understand and apply the techniques of mechanical repair.
  • Working level operation of current City word processing, spreadsheet and related specialty software.
  • Operate a refuelling vehicle.
  • Operate a forklift
  • Use a variety of basic hand, power and diagnostic tools.
  • Diagnose mechanical and electrical problems related to fleet.
  • Maintain accurate records.
  • Establish and maintain effective working relationships.
  • Deal effectively with the public and outside agencies.
  • Work safely on job sites.

 
QUALIFICATIONS
Formal Education, Training and Occupational Certification:

  • High school graduation.
  • Red Seal Parts Person certification (3 years)
  • Transportation of Dangerous Goods Certificate. (8 hours)
  • Level 1 Automotive Service Technician Certification (or equivalent experience). (210 hours)
  • Forklift Operators Certificate
  • Current and valid Class 3 B.C. Driver’s Licence with Air Endorsement.

Experience:

  • 4 years of related experience including mechanical experience
  • or an equivalent combination of education and experience.

OTHER:

  • May be requested to substitute in a more senior position
  • May be required to work afternoon shift.

 
Work schedule: Monday-Friday, (40 hour work week)
$39.52 per hour, Pay Grade 10 (Under Review)
